Four things
you will not get in Excel.

VIN-based vehicle card, mechanic schedule, quotes with margin, before/after photos, this is not a feature checklist. These are four concrete tools solving four concrete problems I hear from workshops every week.

01 Vehicle card · VIN

You type a VIN,

Typical state before. 2 mechanics, 12 cars/week, revenue ~480,000 PLN a year. Invoices written by hand in iFirma in the evenings, on average the owner sits for 3 hours after work. Before/after photos on 5 phones (his, the mechanic's, sometimes the client sends pictures of the breakdown). Vehicle cards in a binder, a client comes back after a year, 20 min of digging through paper. Seasonal tire change reminders kept 'in his head'.

Deployment. The Workshop Solo package for 4 999 PLN net, one-off. Plus Tech Care for 399 PLN/mo. (backup, security, minor changes). After deployment (typically). Invoicing drops from 3 h to ~30 min a day (quote → invoice in one click from the system). The client panel with repair status, the client sees 'in progress · ready in 2h', and a dozen or so daily calls of 'when can I pick it up?' just stop. Referrals grow, because clients show friends before/after photos from the panel link, and automatic seasonal tire change SMS messages bring back part of the client base for the next visit. Payback on the order of 4-5 months, counted conservatively: the owner's time saved alone is ~2.5 h/day × 22 days × 120 PLN/h = ~6,600 PLN/mo., plus extra revenue from follow-ups.

Five concerns
I hear from workshop owners.

I have heard every concern below at least three times. I answer directly, no marketing fluff, because workshop owners are the last people who want to listen to nonsense.

„My mechanic will not type this into a system, phone in one hand, wrench in the other, the system is just extra work for him.”

Answer

The most honest concern I hear. That is why the system is a phone app (works like any regular app), and the mechanic taps three times: VIN → photo → status. He takes the photo the same way he does now, with his phone, the system just attaches it to the job. Logging hours and parts is done by the owner or reception in the evening (10 min for 12 jobs). Mechanics are usually skeptical on day one, after a week they tap by themselves, because three moves is not a problem.

„I already have Kalibro / Mechanik+ / Autoescola, why would I switch?”

Answer

If Kalibro/Mechanik+ works and you are happy, do not switch. I tell every client this. I make money on workshops that either (a) run on Excel and paper, or (b) pay a subscription to a ready-made platform and feel that the client data does not belong to them (data export is incomplete, photos sit on someone else's server). My system: you pay once, the code is yours, the database is yours, the data is on a server in the European Union. It makes sense if you plan to run the workshop for 5+ years and do not want to be tied to a platform vendor.

„Clients will not check this status panel, they will call and ask, it will not change a thing.”

Answer

In Wrocław after the deployment the 'when can I pick it up?' calls dropped by ~60% in 3 months. The secret: an automatic SMS with a panel link sent at three moments (accepted, in progress, ready). The client clicks once, sees status + photos + price, does not have to remember a link, does not have to log in. Older clients still call, but less. Younger ones (30-45) prefer to check by themselves.

„And what about JPK invoices, will the system handle it or will I still have to retype into iFirma?”

Answer

Solo: PDF invoices from the system + data export to iFirma / wfirma / Comarch (one click a month). JPK_VAT comes from iFirma or wfirma, not from the system, because that is the accounting side, not the workshop. Pro: direct connection to iFirma, every invoice from the system lands in iFirma automatically once the job is finalized. Zero double entry, JPK is generated by iFirma itself from the monthly data.

„A setup of 4 999 PLN is 2 weeks of revenue for me, will it pay off at all?”

Answer

Concretely. For a 2-mechanic workshop with revenue of 35-45k PLN/mo: time the owner saves on invoicing (~2.5h/day × 120 PLN/h × 22 days = ~6,600 PLN/mo) + new clients from the status panel and SMS (~3-5k PLN/mo extra revenue after 3 months). Payback in 3-5 months, after that the savings keep going for the life of the workshop. For a workshop with lower revenue (<25k PLN/mo, 1 mechanic), Solo does not make sense, I recommend sticking with Excel for another year.
