Rule of thumb. When SaaS, when your own system.
Most "SaaS or your own" decisions come down to a single number: how many bookings, clients or visits you handle per month. You match the model to that number. Three thresholds from my own practice:
Small scale
Fewer than 50 bookings/visits per month. Stay on SaaS.
At this scale Booksy PLN 130, Calendly PLN 60 or basic Booking are cheaper than your own system. An investment of 5-10 thousand in a custom solution will only pay off after 3-5 years. Better to spend that money on marketing that grows your scale. Exception: if SaaS blocks a specific integration you need (e.g. fiscalization, your own mobile app), then go custom right away.
Medium scale
50-200 bookings per month. This is the tipping point.
Booking's 18% commission and the Booksy/Restaumatic subscriptions start to hurt. A guesthouse with 12 rooms pays Booking around PLN 25,000 a year in commission alone. A salon with 4 people pays Booksy PLN 520 a month. Your own system for PLN 4,999-7,999 pays off in 12-18 months. This is where it is worth calculating ROI with the calculator (there is one in every comparison) and making the decision consciously.
Large scale
200+ bookings per month. Your own system is the obvious choice.
At this scale SaaS is simply expensive. A restaurant with 200 online bookings a day on Restaumatic pays a PLN 300 subscription plus 5-8% commission on every booking. That is PLN 8,000-15,000 a month. Your own system for PLN 5,999 pays off in 1-3 months and keeps working at no further cost. Plus full control over UX, a consistent brand look, your own data.
The thresholds above are averages. Every industry has its own specifics (restaurants, beauty, accommodation, clinics) and every custom system has a different break-even point. The concrete numbers are in each comparison.
